And The Questions Every Couple Should Ask Before Booking One

Instagram has changed the way couples discover wedding venues.
A few years ago, you would rely on recommendations, planners and site visits.
Today, couples can explore hundreds of venues from their phone in a matter of
minutes.
And that’s a wonderful thing.
The challenge is that Instagram is a great place to discover a venue.
It’s a terrible place to evaluate one.

A Beautiful Photo Doesn’t Tell The Full Story

Most venue photos online are designed to showcase the property at its very best.
The perfect lighting.
The perfect angle.
The perfect setup.
And there’s absolutely nothing wrong with that.
But weddings don’t happen from one camera angle.
They happen across multiple days, multiple venues and hundreds of guest
interactions.
What looks incredible in a photograph doesn’t always work as a wedding venue.
And that’s where couples often get caught out.

One Site Visit Changed My Perspective

I remember visiting a property after seeing its website and marketing photographs.
The images looked incredible.
Grand.
Luxurious.
Perfect for weddings.
I walked into the property.

And within five minutes, I knew it wasn’t the right fit.
Not because it was a bad hotel.
Because it wasn’t a wedding venue.
At least not for the kind of destination weddings we plan.
The guest flow didn’t work.
The event spaces were limited.
The flexibility wasn’t there.
The photographs told one story.
The reality told another.

What A Wedding Planner Sees That Couples Often Don’t

When couples visit a venue, they naturally focus on the beauty.
The ballroom.
The gardens.
The views.
As planners, we’re looking at something completely different.
Ceiling heights.
Guest movement.
Weather backup options.
Power requirements.
Load-in access.
Turnaround times.
Distances between venues.
Management flexibility.
Vendor policies.
Operational practicality.
Because beautiful venues don’t create great weddings.
Well-planned venues do.

Ask For A Guest Journey Walkthrough

One of the best pieces of advice I can give any couple is this:
Don’t just ask for a site visit.
Ask for a guest journey walkthrough.
Walk through the wedding as if it is actually happening.
Where do guests arrive?
Where do they check in?
Where do they gather before events?
How do they move between venues?
Where do elderly guests sit?
What happens if it rains?
What happens if an event runs late?
The answers to these questions will tell you far more than any Instagram post ever
will.
And once those discussions happen, make sure everything is documented.

Why I Rarely Recommend A Venue I Haven’t Seen

Over the years, I’ve developed a simple rule.
I don’t recommend venues based solely on photographs.
I recommend venues I’ve visited.
Because no matter how beautiful a venue looks online, there are things you only
understand once you’re physically there.
The atmosphere.
The service.
The team.
The flexibility.
The energy of the property itself.
Those are things a camera can never fully capture.

What To Do If You’ve Fallen In Love With A Venue Online

It happens all the time.
A couple discovers a venue online.
They love the photographs.
They can already imagine their wedding there.
And honestly, that’s completely normal.
The next step isn’t booking it.
The next step is due diligence.
If you have a wedding planner on board, ask them to investigate the venue properly.
An experienced planner will often learn more in one conversation with the venue
team than a couple can learn from weeks of online research.
They’ll understand the operational realities.
The flexibility.
The hidden challenges.
And whether the venue genuinely supports the wedding you’re trying to create.

Vaibbhav’s Take

Instagram is where I discover venues.
It is not where I decide on them.
A venue should never be chosen because of a photograph.
It should be chosen because it supports the guest experience, the vision and the
practical realities of the wedding.
The most beautiful venue on Instagram isn’t always the best wedding venue.
And sometimes the best wedding venue isn’t the one that photographs best.

Final Thought

If you fall in love with a venue on Instagram, don’t stop there.
Visit it.
Walk it.
Question it.
Challenge it.

Understand it.
Because Instagram shows you the venue.
Reality shows you the wedding.
And when you’re planning one of the most important celebrations of your life, the
difference matters.
